Crediting a Session

Article summary

Purpose: After an Activity has been Invoiced, if a user realizes that the units, funding source, or rate were entered incorrectly, then a credit needs to be applied.

If the status is still in Pending or Ready for Invoicing, users will be able to edit the Activity as needed. Users can only credit an EI Services record type Activity once it has been Invoiced, and a Trust Program record type Activity when it is in a status of EIST Paid.

  1. From the Client Case, click on the Related tab and locate the Utilizations section

  2. Select the Utilization number that requires a credit

  3. Click on the Credit Activity button in upper right corner

    1. The Utilization will auto-populate

  4. Search the Activity to credit, enter a description (optional) and click Save

    1. This will credit the entire Activity (units and rate)

      1. IMPORTANT: Verify the Credit Activity matches the Invoiced Activity e.g. Same Units, Rate, Service, Funding Sources checked

  5. Refresh the page as needed to see the Credit, located at the bottom in the Activities section

  6. Change the status from Pending to Ready for Invoicing

If a user only needs to credit half of the units, change the funding source, or change the rate, they will still need to follow the steps above and credit the entire Activity and then create a new Activity with the correct information on that same Utilization
