DATA SYSTEM RELEASE
Sunday, March 16, 2025
We will be implementing updates to the EI Data System
3/16/2025 from 8:00 am until 3/16/2025 pm at 1:00 pm
USERS WILL BE REQUIRED TO BE OUT OF THE EI DATA SYSTEM
Users can log into the system after 1:00 pm on 3/16/2025
RELEASE SUMMARY

Eligibility Determination & Established Conditions Cover Sheet For Established Conditions & Out-of-State Transfers | Yes. When a child is eligible due to an established condition and the following fields are completed:
The EI Referral Case will update the following fields:
Established Condition Cover letter is created and saved under Files “Established_ Condition_MM/DD/YYYY.pdf” When a child is eligible due to Out of State Transfer
The EI Referral Case will update the following fields:
Eligibility information will populate to the Client Case upon creation |
Intake Questionnaire Mapped to EI Screening Record | No. Intake Questionnaire Question to populate EI Referral Case:

Future Evaluation Appointments Canceled when Referral Case is Closed | No. When an EI Referral Case is closed any future evaluation appointments will be canceled |
IFSP Signature Requirements & Updated Logos | Yes. Statement for participation and acknowledgement has been adjusted. Some signatures are no longer required:

Public Awareness Materials Available on the EI Colorado Website | No. Removed public awareness materials that are no longer available as printed materials. Only Family Rights and Procedural Safeguards brochures can be ordered |
Emails from Referral & Intake EI Referral Case | No. All emails sent by the EI Referral Case will be sent from [email protected] email address |
Hospital/Practice Account Limitation on creating new Hospital/Practice Accounts | Yes. When an end user creates a new Hosptial/Practice account, it will be created via a new button on the Account tab “New Hosptial/Practice Account Request”. Upon submitting the request EI Colorado staff will ensure the new Hospital/Practice account is complete, accurate, and not a duplicate. EI Colorado staff will approve new requests |
Referral Status Update EI Referral Case | Yes. New Field “Consent to Share” in the “How Did You Hear About Early Intervention” section on EI Referral Case. If an ROI for the Referral Source is on file this field needs to be checked. Referral Status Updates will be generated by the EI Data Sytsem on the EI Referral Case. The Case Owner will receive a Task informing them the RSU needs to be sent. RSU forms are saved to EI Forms on the Related tab “Referral_Status_Update_mm/dd/yyyy_In_Progress or Complete” End user will be responsible for emailing or faxing RSU to Referral Source |
Display Prior Cases on Referral Case Visibility into prior Referral Cases | No. There is a new section on the EI Referral Case “Case Information” that displays all prior EI Referral Cases. The following information will be displayed:

Relationship to Child on IFSP Displayed as Private when Private checkbox is selected on IFSP Background tab | No. When an individual listed in Relevant Contact Information on the IFSP background tab is marked as Private the Relationship will also be reflected as PRIVATE when the IFSP Print Preview button is selected |
Provider Portal

Edit/Credit Evaluation Activities For EIEs via Provider Portal | Yes. Evaluation Entities/Evaluators can edit Activities that have not yet been invoiced. Activities in a Status of Invoiced can be credited |
Visibility to IFSPs for Company Owners Error Resolved | No. Company Owners can view the IFSP for providers within their Company |
