We will be implementing updates to the EI Data System 

12/15/2024 from 8:00 am until 12/15/2024 pm at 1:00 pm


USERS WILL BE REQUIRED TO BE OUT OF THE EI DATA SYSTEM

Users can log into the system after 1:00 pm on 12/15/2024

What is the Update?

Mailing vs. Physical Address


EI Referral Case 

No. Physical Address is now the primary address on the EI Referral Case.  Evaluation scheduling will now look to the Physical zip code and county when the “Schedule Evaluation” button is selected.

Mailing address is only visible when Physical and Mailing Address Different? Box is checked  

AU Notification 


New Task

Yes. AU Notification Task will be generated when a child is 2 years 3 months of age. Task due date is when child reaching 2 years 6 months of age

Intake Questionnaire 


Client Case


Yes. On EI Referral Case when the Intake Questionnaire is opened there is a new box in the top right corner to Open PDF which the user can click to display the intake questionnaire as a PDF. 

On the Client Case a copy of the Intake Questionnaire is saved as a PDF under Notes & Attachments section on the Related tab.  The document is labeled as “Intake Response xx/xx/xxx.pdf”. This document can also be accessed via the Provider Portal 

QIO 


Eligibility Reason 

Yes. Parent IDD has been added to the “Area(s) of Delay/Informed Opinion” option on the QIO tool 

Referral for Children over 2 year 6 months


New checkbox on Client Case 

No. If a child is age 2 years 6 months or over at the time of referral a new checkbox will be checked for “Referral After 2.6” 

There is a new calculated field in the Child Find Information / Transition Information section on Client Case that displays the date on which a child was/will be “2 years 6 months” of age

Service Provider Contact 


Consolidate for Company Providers 

No. Service Providers who are also Company Owners will only have one contact for Service Provider with a checkbox checked for “I am someone who manages the profiles for other providers in this company”.  Duplicate contacts have been deleted 

New providers will sign-up for the Provider Portal indicating if they provide EI Services or are only an Admin for a Company 

Service Provider Assignment 


Requirement 

Yes. The Service Provider Assignment button must be used when assigning a Provider to the Service Plan Element. Users cannot enter a Provider directly on the Service Plan Element 

Service Providers must have a Service Status of Active to be assigned as the Provider either on the Service Plan Element or ServiceProviderAssignments (Initial IFSP Case) on the Client Case 

Provider Portal - Waiver Request


EIB Notification 

Yes. EI Coordinators will receive an email when a Service Provider submits a Waiver to provide EI Services for all EIBs the Provider is Active with. The EI Coordinator will inform EI Colorado if they are interested in working with the Provider under a Waiver. 

Documents attached to a Waiver will be listed by the following document types: Letter of Request from Local EI Program/Agency, Transcripts (unofficial is sufficient), Degree(s), Current licenses/certifications, CV/Resume

Update Attestation Forms

No. Attestation forms for contractors and companies have been updated to reflect updated information
