We will be implementing updates to the EI Data System 

9/22/2024 from 8:00 am until 9/22/2024 pm at 1:00 pm


USERS WILL BE REQUIRED TO BE OUT OF THE EI DATA SYSTEM

Users can log into the system after 1:00 pm on 9/22/2024


RELEASE SUMMARY

What is the Update?

Do I need to do anything?

Min and Max Age


IFSP Developmental Domains  

Yes. The Minimum and Maximum Developmental Age Levels have been increased to 48 months in all five domains.  Developmental domains document skill level over three years of age 

Run Address Clearance 


EI Referral Case

Yes. The Run Address Clearance button will now return validated addresses for both Mailing and Physical Addresses. Mailing Address will continue to be the primary address collected on the EI Referral at this time. 

Referral & Intake Emails 


Emails to Parents 

No. The emails sent by the EI Data System to Parents for Online Referral submission, Evaluation Scheduled Reminder, 24-hour Evaluation Reminder and Established Condition email will be sent from [email protected] 

Evaluation Matching 


Schedule Evaluator Appointment 

No. When Schedule Evaluator Appointment is selected only Evaluation Entities that serve the child’s county will be returned unless Overflow is selected. This will prevent the calendar from displaying evaluations in which an evaluator contracts with multiple Evaluation Entities 

Online Referral 


Privacy Statement & DHS Questions Added

No. A new privacy statement has been added to the online referral form “We are fully compliant with the Family Education Rights and Policy Act (FERPA), the more stringent Health Information Privacy and Protection Act(HIPAA), and the Children’s Online Privacy Protection Act(COPPA). At the simplest level, it means we will NEVER disclose personal information to any unauthorized parties.” 

Additional Fields for Involved with the Department of Human Services have been added when “Parent/Guardian Relationship to Child” is either Foster Parent or Other Family Member or when Referral Source is Social Services or Social Services/CAPTA

Evaluation Billing


New Allocations for each EIE

Yes. Each Early Intervention Evaluation Entity (EIE) has an associated Allocation that matches their contract amount for Evaluation Activities billed.  Evaluation Billing must match the date of the evaluation to process successfully.  EIE will have the ability to Credit Evaluation Activities billed and invoiced that were in error.

Service Coordinator 


EI Referral Case

No. The field lookup has been restricted so that only Service Coordinator Contacts can be entered in the Service Coordinator field 

Intake Questionnaire 

 EI Referral Case 

Yes. Intake Questionnaire has been updated to include hide/show logic.  Some questions will only appear when the preceding question indicates the need for follow-up

The Intake Questionnaire can be completed in either English or Spanish 

Teaming Activities


Credit Activity 

Yes. Teaming Activities billed to the EIB (CCB Account) can be credited if billed in error 


Provider Portal


Submit and Complete Button


EI Screening Record 

Yes. The Submit button has been removed and replaced by a new “Submit and Complete” button. When this button is selected the Care Navigator/Intake Coordinator will receive a Task informing them that the Evaluation is complete.  This new “Submit and Complete” button can only be selected once and will be greyed out once the EI Screening Record has been submitted

Central Location/Additional Details 


Evaluation Appointment 

Yes. There is a new field for Central Location/Additional Details on the evaluation appointment.  If the location is Central this field remains required.  For In-Person, Hybrid or Virtual Evaluations this field can be utilized to share additional information with the Care Navigator when scheduling 

Provider Training


Billing

Yes. Providers can bill for EI: Initial EI Provider Training and/or EI: Follow-Up Provider Training via the Provider Portal on the Home Screen.  Service(s) are billed to EIB (CCB Account) directly not by child case.
