DATA SYSTEM RELEASE

We will be implementing updates to the EI Data System
6/16/2024 from 8:00 am until 6/16/2024 pm at 1:00 pm
USERS WILL BE REQUIRED TO BE OUT OF THE EI DATA SYSTEM
Users can log into the system after 1:00 pm on 6/16/2024

Closed/Eligible Exit Caution Message | No. When a Client Case is closed and the child is over 30 months of age a caution message will pop-up reminding users “Ensure Actual Start Date or Not Provided Late Reason(s), Initial IFSP Date/Late Reason(s) & Transition Activities/late Reason(s) have been documented on the EI Case or IFSP” |
QIO Helper Text Removed | No. Nonessential helper text has been removed on the Missing Required Info on the Family Assessment tab & Missing Required Info on the Global Outcomes sections |
Cornerstone Provider Training Retention Survey Survey for Workforce | Yes. EI Colorado has developed the Cornerstone Provider Training Retention Survey. This survey will be sent to Providers six (6) months after the date EI: Initial Provider Training is billed. Once the Survey is complete the provider may bill for EI: Follow-up EI Provider Training. In July the Survey will be sent to all Providers who billed EI: Initial Provider Training in the last 6 months or more |
CCB to CCB Transfer Allowable when IFSP is not yet developed | Yes. New Closed/Not Enrolled Exit Reason, Moved within State. The Transfer Case button may be used for children with a Closed/Not Enrolled Exit Reason prior to IFSP development. The EI Screening record will be included for the receiving local program |
Edit IFSP Method Error Resolved | No. Service Method can be updated when IFSP service has a Continued -Revised status |
DocuSign - Task New Functionality | No. When EI Screening Record is completed via DocuSign the Owner of the EI Referral Case will receive a Task “Evaluation Signed” |
DocuSign - Family Contact Email Updates Field | No. When Duplicate Contact button is used the Parent/Guardian 1 email is saved to the Family Member Contact under Email. This contact is populated to the EI Referral Case DocuSign Recipient #1 field |
DocuSign - Evaluation/IFSP Consent Statement New Field | Yes. In the event DocuSign signature cannot be obtained the evaluator or Service Coordinator can all a “consent statement” in the signature line on the Evaluation Team Participants or IFSP Participants tables. This will allow both a Consent Statement and DocuSign signature on the EI Screening Record and IFSP document |
Online Referral Form - Child’s Middle Name New Field | No. Child’s Middle Name is now available on the Online Referral Form. This field is not required |
EI Referral - Reminder Letter Central Location Information Added | No. When the reminder letter is sent for an evaluation and the location is Central, the location address will be displayed on the letter |
EI Referral Case - Anticipated CCB New Functionality | No. When an EI Referral Case status is Complete the program in the Anticipated CCB field will update the CCB and Owner fields on the EI Referral Case and SC will be set to blank |
EI Referral Case - Required Evaluator Discipline Categories Updated | No. The options for Required Evaluator Discipline has been changed to reflect: Adaptive, Communication, Cognitive, Physical Speech, and Social Emotional. Sensory has been removed. Physical is now indicated if an EI Referral Case had fine or gross motor selected |
EI Referral Case - Established Condition Letter Visibility from EI Referral Case | Yes. The Established Condition letter is visible on EI Referral Case in Related tab under Files |
EI Referral Case - Date of Referral Closure Auto-populates | Yes. When an EI Referral Status is updated to Complete or Closed, Date of Referral Closure auto-populates to the date the Status is changed |
Family Rights and Procedural Safeguards Brochure Update with Current EI Colorado Branding | No. The Family Rights and Procedural Safeguards brochure with the most recent EI Colorado branding is attached to all letters and forms generated by the EI Data System |
EI Referral Case - Updates to Household Account, Child Contact and Family Member Contact When EI Referral Case is Complete/Closed | No. Upon updating the EI Referral Case Status to Closed/Complete any demographic changes made for the Child or Parent/Guardian 1 (name, DOB, address, phone number, etc) will update on the Household Account, Child Contact and/or Family Member Contact |
EI Referral - Duplicate Contact Error Resolved | No. If a child contact already exists user can save the existing contact to the EI Referral Case |
EI Referral - Duplicate Contact Middle Name | No. When Duplicate Contact button is used the EI Data System will search for existing contacts with and without a matching middle name. If the middle name is completed on EI Referral Case the Client Contact will be created including the Child’s middle name |
Provider Portal
Provider Portal Exit Reason Additional Options added to Picklist | Yes. New Exit Reasons: Moved out of state, Never provided EI services, and Administrative requirements outside of direct service provision have been added |
Evaluation Discipline Categories Updated | No. The options for Evaluator Discipline have been changed to reflect: Adaptive, Communication, Cognitive, Physical Speech, and Social Emotional. Sensory has been removed. If an Evaluator had fine or gross motor selected, physical is now indicated |
Cloning Evaluations New Functionality | Yes. Company Owners can clone a full date of evaluations from the Provider Portal - My Eval Availability tab. The clone function works for any day regardless of the scheduled status |
DocuSign - EI Screening Record Refresh Improved Functionality | No. When evaluator refreshes the EI Screening Record to view the Send with DocuSign button they remain on the EI Screening screen |
DocuSign - Parent Signature Error Resolved | No. When EI Screening Record is sent to Parent only one signature is required under the Not Eligible or Eligible statement |
